Community Transport Administration Officer

Details

This position has responsibility for providing high quality professional and confidential administrative support.

Key responsibilities include:
1. Act as a first point of contact for clients, volunteers and stakeholders including providing ongoing support requested via email and telephone queries.
2. Coordination of client support functions to ensure the service meets client expectations and contractual requirements including assist with client enquiries via telephone, counter, e-mail and facsimile.
3. Preparation and typing of standard documents, reports, correspondence, newsletters, brochures, agendas and minutes of relevant meetings.
4. Coordination of the office to ensure maintenance of client databases, including data entry and updating client information.
5. Coordination of trips and transport options for clients including group/individual bookings, taxi vouchers, hiring and brokerage of vehicles.
6. Occasionally drive clients to and from various appointments as required.
7. General office administration including filing, mail, equipment operation and data entry.
8. Development and implementation of quality and timely administrative processes to improve the efficiency of Community Transport as approved by Manager.
9. Participate in the planning of events or projects designed to promote or enhance the services of Community Transport.
10. Assist with the coordination of volunteer activities.
11. Assist with quality assurance, accreditation programs and other audits as required.
12. Carry out other duties as directed within the scope, skill and competence level of the position and employee.

To be successful in this role you will possess:

ESSENTIAL

Certificate II or III in Business Administration
Minimum of 2 years of relevant work experience in an administration role.
Must hold and retain an Australian Class C Drivers licence.
Experience in a demanding work environment requiring effective time management to meet various deadlines for multiple tasks. Intermediate skills in the use of the Microsoft Office suite of products and demonstrated broad computer literacy.
A working knowledge of the roles and responsibilities set out in the Workplace Health and Safety Act and an understanding of the principles of equal employment opportunity.
Demonstrated ability to communicate effectively with a diverse range of people, including staff, clients, volunteers, community care workers and government departments.
Demonstrated high level written communication skills including the ability to produce documents, presentations, correspondence and reports.
A proven commitment to and enthusiasm for customer service excellence
Demonstrated capacity to work autonomously and as part of a team.
Current National Police History Check Report (or ability to readily acquire at applicants expense).
Must hold a current First-Aid certificate.

DESIRABLE

Knowledge of Community Transport or Community Care.

 

Remuneration

Benefits Salary to $940.70 pro rata gross per week and dependent on skills, knowledge, qualifications and experience. + 9.5% superannuation
